Portal Dealer User Guide

Portal Login

First Time Access

Click the “Request Access” link to send a request to receive credentials

After your portal account has been created and activated, follow these steps:

Email

Enter email address as login to the portal

Password

Enter your password

Mobile Apps

The dealer portal offers access to your account(s) via mobile apps for both IOS as well as Android.  The links for download can be found on the login page or at the respective mobile stores

Home Screen

The home screen serves as the landing page when logging into the portal and displays a snapshot of your account as well as a quick menu to navigate.  Clicking on the logo will always take you back home

Features

Menu

Easy to find menu takes you to different details and data for your account

Quick Menu

One click to navigate to any of the quick menu screens for details and data for your account

Drill Down

Click on any of the line items to drill down into the data.  For example, click current balance and you can see details of what makes up the current balance

Help

Click help and support to send a ticket for any request or question

Prices Menu

The Prices Menu will display information on current pricing as well as fuel price history.  Optional prices quotes can be emailed as prices change.

Fuel Price History

Price history with filter capability by clicking “search criteria” to narrow results. 

View Graph

Prices can be displayed in graphical view for picture results

Options

Prices can be exported to CSV or PDF

Orders Menu

The Orders Menu allows you to place an order or view order history.

Features

Orders

Normally orders will be based on recent purchases or recently quoted products 

Place Order

Enter a delivery date, quantity, contact information, and any special instructions for delivery and click “preview order” 

Order Status

In most cases, email notifications will keep you updated until delivery

Order History

Order history with filter capability by clicking “search criteria” to narrow results.  

Options

Prices can be exported to CSV or PDF

Documents Menu

The Documents Menu allows you to view invoice and EFT information.

Features

Invoice History

View invoice data or copies including all history by clicking “search criteria” and select options for search. 

View Invoices

Invoices can be viewed, downloaded, or exported by click “options” at the end the invoice row

EFT History

View EFT data or copies including all history by clicking “search criteria” and select options for search. 

View EFTs

Invoices can be viewed, downloaded, or exported by click “options” at the end the invoice row

Options

Prices can be exported to CSV or PDF

Credit Card Menu

The Credit Card Menu allows you to view credit card data.

Features

Batch Summary

View credit cards by batch including all history by clicking “search criteria” and selecting a date range

Daily Summary

View credit cards by date including all history by clicking “search criteria” and selecting a date range

Monthly Summary

View credit cards by month including all history by clicking “search criteria” and selecting a date range

Grouping Option

Group data by batch date or process date by clicking “search criteria” and selecting option

View Graph

Prices can be displayed in graphical view for picture results

Options

Prices can be exported to CSV or PDF

Reports Menu

The Reports Menu allows you to view standard portal reports.

Features

Purchase Summary

This report displays all purchases by month for a calendar year including all history by clicking “search criteria” and selecting filter criteria.  Note:  Report can be displayed in units (gallons) or dollars

Invoice Summary

This report displays all invoices by month for a calendar year including all history by clicking “search criteria” and selecting filter criteria. 

View Chart

Purchase Summary and Invoice Summary can be displayed in graphical view for picture results

Account History

Account History serves as a full ledger of all transactions including all history by clicking “search criteria” and selecting a date range.  In addition “export detail” will create a file of all fields that are available in the portal for ease of downloading

Open Transactions

Open Transactions includes any open item that has not been paid or cleared. 

Mobile Apps

Mobile apps for each platform with full portal functionality and are available on the login page, respective online store, or in your profile in the portal.
